Why I needed a CRM and automation platform
I needed somewhere to put an enquiry, the conversation around it and the next action. When those pieces sit in different tools, the customer is left waiting while people work out who is doing what.
I currently use GoHighLevel around lead capture and follow-up. It gives each lead a visible record, a response and a next action, with less reliance on somebody remembering every chase.
What GoHighLevel brings together
GoHighLevel puts pipeline stages, forms, calendars, email, SMS and workflow automation in one place. I chose it because this can give a team a visible hand-off instead of a chain of subscriptions and assumptions.
An enquiry can arrive, the response can be triggered and the next action can be made visible. It also keeps the customer record, pipeline and follow-up activity together, and makes SMS-heavy follow-up and review requests easier to structure.
- Lead capture and customer records
- Pipeline stages and visible hand-offs
- Forms and calendars
- Email and SMS
- Workflow automation
The alternatives I considered
The alternatives I considered were HubSpot and ActiveCampaign. The right comparison starts with the operating problem rather than a long feature list. I would look at where an enquiry is recorded, how the conversation is kept with it and how the next action is assigned.
I would also compare the total cost of the tools each option replaces and the time needed to run it. Current plans should be checked directly with each supplier, rather than relying on an old pricing comparison.

- ActiveCampaign
- GoHighLevel
How I would choose between them
My reason for selecting GoHighLevel was that it brought lead capture, messaging, pipeline and workflow steps together. It can replace disconnected subscriptions when the process genuinely needs those capabilities.
That does not make it the automatic choice. I would map the real lead-to-sale process first, then check which platform supports it without creating unnecessary complexity. If the requirement is only a basic contact list, a broader CRM and automation platform is more than the business needs.
- Define where an enquiry enters the process
- Decide who owns each response and next action
- Identify which messaging channels are genuinely required
- Check whether forms, calendars and workflows need to sit together
- Compare total tool cost and the work required to maintain the system
Limitations and day-to-day frustrations
GoHighLevel requires considered setup. An empty account is not an operating system, and the platform is not a shortcut around an unclear process. The interface can also feel busy, especially while a new team is learning it.
Complex automation still needs named ownership and regular review. Bringing tools together does not remove the need for somebody to maintain the workflows and make sure they still reflect the customer journey.
- Setup needs to follow a defined process
- The interface can feel busy for a new team
- Automation needs an owner
- Workflows require regular review
Who GoHighLevel suits and who should avoid it
GoHighLevel suits service businesses with a defined lead-to-sale process and enough enquiry volume to benefit from follow-up. It is useful when the business genuinely needs lead capture, messaging, pipeline stages and workflow steps to work together.
It does not suit a business that only needs a simple contact list. I would also avoid it where nobody is responsible for upkeep, because the system and its automations still need active ownership.
- Suits service businesses with a real lead-to-sale process
- Suits teams that need visible hand-offs and structured follow-up
- Does not suit a business needing only a basic contact list
- Does not suit a team with no owner for setup and upkeep
My verdict on GoHighLevel and its alternatives
For my use, GoHighLevel is the place for lead capture, messaging and follow-up when a business needs more than somebody's memory. Its strength is keeping the customer record, pipeline and follow-up activity together.
It is powerful when it is built around the real customer journey, but it is not a shortcut around unclear process. HubSpot and ActiveCampaign remain alternatives to consider against the same practical requirements before choosing a platform.
